Project Description

The purpose of the project is to develop a plan for the migration of the Downstream Business from legacy file management systems to SharePoint.

Currently there are a number of options for individuals to share user-created files. Such options include Personal Folders, Shared Folders, PST files (for eMail), Groove, and LiveLink – a key tool to allow groups of users to share information and work co-operatively on these. The Group has adopted SharePoint as its strategic target tool to deliver this functionality. Adoption in Downstream has, to date, been patchy and uncoordinated. This project will develop a full migration plan to move us away from the legacy options to SharePoint. At the same time the project will identify what user behavior changes are needed to make the technical migration a business success. Personal file management hasn’t been very strong traditionally, with a large cost impact arising from unnecessary storage costs, but also the lost opportunity time of individuals searching for files. This project must also recommend people targeted awareness objectives to complement the technology transition.

Project deliverables must include…
•Detailed migration plan including resourcing strategy – with migration targeted to occur through 2011
•Recommendations/proposals on sustainable governance model for IM and for the SharePoint implementation – both Business and IT
•Minimum best practice adoption by users to enable payback of technology transformation delivered through a Best Practice toolkit
•Feedback from BSMs and BAM on risks and opportunities of a 2011 deployment
•Comprehensive cost benefit analysis – including the cost and effects of staying with status quo – highlighting the key cost-related success factors.
•Comprehensive clean-up plan and costs for legacy data, including clear direction on LiveLink, Groove etc. options i.e. can they be decommissioned?
•Alignment with GRM/IRM requirements
•Due Diligence statement on other options and constraints e.g. if we could not justify a migration what would be the consequences; is a “stay-it-alone” strategy viable etc.?
•Engage areas within the company to align and share learning’s of existing implementations.
•Support model definition, including technical support and end user support.
